POSITION SUMMARY
The Operations Manager will oversee and optimize the Foundation’s day-to-day administrative and operational functions while supporting organizational growth and efficiency. This role is responsible for the coordination and management of the Foundation’s core systems, including bookkeeping, financial transaction processing and the administration of its database of charitable funds, organizations and individuals, as well as providing high-level administrative and project support to leadership and staff. This individual will also be the point person for our finance and human resources matters.
This is a unique opportunity for a highly organized, proactive, and strategic professional to play a key role in strengthening operations at a growing Foundation dedicated to addressing one of the most prevalent neurological conditions, impacting an estimated 30 million Americans.
The position is based in Glenview, Illinois and reports to the Executive Director. A hybrid, remote working arrangement will be offered and evaluated regularly and may be adjusted based on business and operational needs.
POSITION RESPONSIBILITIES
Operations & Organizational Management
- Oversee daily operational functions to ensure efficiency, consistency, and alignment with organizational goals. Identify and implement opportunities to achieve greater efficiency and accuracy.
- Manage organizational records, including digital and physical files, ensuring accuracy, compliance, and accessibility.
- Evaluate and optimize the use of operational tools and software (CRM, project management systems, financial tracking tools).
- Coordinate cross-functional workflows and ensure timely execution of organizational priorities.
- Identify operational gaps and recommend solutions to enhance productivity and scalability.
Financial & Data Administration
- Manage all internal financial processes and maintain records.
- Oversee donation processing, acknowledgments, and tax receipts, ensuring accuracy and timeliness.
- Manage monthly and quarterly statement fund processes.
- Generate, analyze, and reconcile fundraising and financial reports.
- Support budgeting, reporting, and compliance-related filings in coordination with leadership and external partners.
Team & Project Management
- Provide project management support across departments, ensuring deadlines and deliverables are met.
- Coordinate internal and external meetings, track action items, and support execution of strategic initiatives.
- Serve as a central point of coordination for staff, fostering communication and collaboration.
- Prepare notes and minutes of key meetings, including board meetings, and highlight and assign action items as needed.
Leadership & Administrative Support
- Support the Executive Director and leadership team (Development, Partnerships, Programs, Marketing & Communications) with high-level administrative and operational needs.
- Assist in planning and execution of organizational programs, events, and initiatives.
- Prepare reports, presentations, and materials for internal and external stakeholders.
QUALIFICATIONS
- Minimum of 7–8 years of administrative and/or operations experience, with increasing responsibility
- Bachelor’s degree required
- Demonstrated experience in operations management, process improvement, or organizational development
- Strong financial and data management skills, including experience with fundraising reporting and reconciliation
- Excellent leadership, interpersonal, and communication skills
- Exceptional organizational, analytical, and problem-solving abilities
- Ability to manage multiple priorities in a fast-paced, mission-driven environment
- Proven ability to work both independently and collaboratively
- Proficiency in Microsoft Office (Word, Excel), donor management systems (e.g., Bloomerang), project management tools (e.g., Asana), and virtual meeting platforms (e.g., Microsoft Teams, ON24)
